Scan-To-Email: Creating App Passwords
For our clients who would like to use scan-to-email from their multifunctional printer, there are a few steps that you’ll need to complete ahead of time to ensure a timely and efficient installation. You should create the proper credentials for the email address for the multifunctional printer to send the emails from. Below are instructions on how to create those accounts, depending on your email preferences. If you have questions before installation, please contact your Area Business Manager.
FIRST STEP: Choose the type of email account you use:
APPLE ACCOUNT
GOOGLE ACCOUNT
MICROSOFT ACCOUNT
MICROSOFT 365 ACCOUNT
Creating App-Specific Passwords for Apple Accounts
These directions will guide you through creating an App-Specific password for your Apple account. If you find that App-Specific Passwords are not available for your account while following this document, you may need to take additional steps:
▪ Verify that Two-factor authentication is enabled by following the steps outlined in the Two-factor Authentication for Apple ID article provided by Apple.
▪ If using a work, school, or other organization account, verify with your IT provider that App-Specific Passwords are enabled for your account.

Generating an App-Specific Password in the Apple ID Console
1. Sign in to your Apple Account and select App-Specific Passwords.
2. In the resulting pop-up, select Generate an app-specific password.
3. In the Generate App-Specific Password pop-up, specify a name and select Create.
4. Copy the password into your app.
Creating App-Specific Passwords for Google Accounts
These steps will guide you through creating an App Password for your Google account. If you find that App Passwords are not available for your account while following this document, you may need to take additional steps
▪ Verify that 2-Step authentication is enabled by following the steps outlined in the Turn on 2-Step Verification article provided by Google.
▪ If using a work, school, or other organization account, verify with your IT provider that App Passwords are enabled for your account.

Generating an App-Specific Password in the Google Account Console
1. Sign in to your Google Account and select Security.
2. Under How you sign into Google, select 2-Step Verification.
3. At the bottom of the page, select App passwords.
4. Create a name for the app password, then select Create.
5. Copy the password into your app.
Creating App-Specific Passwords for Microsoft Accounts
These steps will guide you through creating an App Password for your Microsoft account. If you find that App Passwords are not available for your account while following this document, you may need to take additional steps:
▪ Verify that Two-Step Authentication is enabled by following the steps outlined in the How to use two-step verification with your Microsoft Account article provided by Microsoft..
▪ If using a work, school, or other organization account, verify with your IT provider that App-Specific Passwords are enabled for your account.

2. Select Advanced Security Options.
3. Scroll down to App Passwords and select Create a new app password.
4. Copy the password into your app.

These steps will guide you through creating an App Password for your Microsoft 365 account. If you find that App Passwords are not available for your account while following this document, you may need to take additional steps:
▪ Verify that Two-Step Authentication is enabled by following the steps outlined in the Set up an authenticator app as a two-step verification method article provided by Microsoft
▪ If using a work, school, or other organization account, verify with your IT provider that App-Specific Passwords are enabled for your account.

Generating an App-Specific Password in the Microsoft 365 Account Console
1. Sign into your work or school account and visit the My Account page.
2. Select Security info from the left navigation pane on the My Account page.
3. Select Add sign-in method on the Security info page.
4. In the Add a method pop-up, select App password from the list, then select Add.
5. Specify a name for the app password, then select Next.
6. Copy the password into your app.
